QuickBooks Pro and Premier can have a maximum of 150 MB as file size. And, as far as QuickBooks Enterprise is concerned, it can hold a maximum of 1 GB.
In addition, there is a full stop to the number of items too. Only a limited number of items like customers, classes, jobs, can be kept in a file. Since, the limit differs from item to item, and version to version, it gets difficult to keep a record. For QuickBooks Pro and Premier, the number must be below 10,000 and as for QuickBooks Enterprise, it can hold 100,000 items.
As the recommended limit draws near, a new company file could be created and lists could be carried over from the previous file very easily. The old file can be kept as a reference and the new file can generally hold entries for open balances at the cut-off date chosen.
If it has been determined that the slow pace is related to the size of the file, a few options could be considered. An upgrade to QuickBooks Enterprise – which is specifically built to run larger databases and keep history intact. The Condense Utility saves an Archive Copy of the file to the hard drive so that old data can always be accessed. The utility then condenses closed transactions into summary journal entries and also can remove any unused list elements. The summary journal entries affect your accounts in exactly the same way as the detailed transactions.
Because there is no internal functionality in QuickBooks to optimize the data file other than running a Condense, E-Tech’s File Optimize operation will copy all data into a new data file, remove unwanted temporary data as well as audit trail data, to bring down file size by 25 to 40 percent.
