SafetyMails Reports Impact of Form Errors on Email Data
A recent study reveals that errors in registration forms continue to impact email data quality, with more than 12% of captured email addresses presenting issues such as hard bounces and risky contacts. The findings highlight how data collection processes directly affect marketing performance and reinforce the importance of validation at the point of entry to ensure more reliable and effective email campaigns.
Rio de Janeiro, RJ, Brazil, 27th Mar 2026 – SafetyMails, a company specialized in email verification and data quality, has released new findings highlighting how errors in registration forms continue to impact email data quality and marketing performance.
According to the Email List Quality Report 2025, based on the analysis of nearly 1 billion email addresses, data quality is directly influenced by how information is captured at the source.
Approximately 7.60% of captured emails result in hard bounces, while 4.57% are classified as risky, including temporary or potentially problematic addresses. Combined, these groups represent more than 12% of collected emails with some level of inconsistency, indicating a significant impact on database reliability and campaign performance.
This level of inconsistency can directly affect email marketing results, as hard bounce rates above 3% are commonly considered a signal of low-quality sending practices by email providers, increasing the risk of blocking and reduced deliverability.
Among the main causes identified are typing errors, invalid domains, and non-existent email addresses—issues that often go unnoticed during data collection and are only detected later through delivery failures or declining campaign results.
A deeper analysis of these errors shows that:
- 47.64% are related to non-existent email addresses
- 39.45% involve invalid domains
- 12.91% are syntax errors during form input
These findings suggest that a significant portion of data quality issues originates at the point of entry and could be reduced through improved validation processes.
The analysis also indicates that post-campaign list cleaning alone is not sufficient to address the issue, as invalid data continues to be generated during the data capture stage.
For this reason, the report highlights real-time validation as one of the key corrective measures, enabling verification at the moment data is entered and reducing the likelihood of storing inconsistent information.
Additional practices recommended include syntactic validation within form fields, the use of double opt-in, and ongoing monitoring of email databases.
Free Email Validation Tool for Real-Time Testing
To illustrate how validation at the point of entry can reduce errors, SafetyMails provides a free email validation tool that allows users to test email addresses in real time.
The tool enables the identification of common issues such as syntax errors, invalid domains, and non-existent email addresses during the validation process, supporting a better understanding of how data quality can be improved at the capture stage.
As email providers continue to increase their requirements and competition for inbox placement intensifies, companies are placing greater emphasis on how data is collected, not only how it is maintained.
The findings reinforce that consistent email marketing performance depends increasingly on data quality at the source.
